Privacy Policy

At Commonwealth Leaders Dialogue Canada, accessible from https://commonwealthleaders.org, one of our main priorities is the privacy of our visitors and members. This Privacy Policy document contains types of information that is collected and recorded by Commonwealth Leaders Dialogue Canada and how we use it.

Commonwealth Leaders Dialogue Canada (hereinafter referred to as "CLD Canada", "us", or "we"), an extension of the Duke of Edinburgh Commonwealth Study Conferences Canada Inc., is committed to protecting the privacy and security of the alumni of the Emerging Leaders’ Dialogues and Commonwealth Leadership Development Conferences ("Alumni") and website visitors. This Privacy Policy (the "Policy") explains the types of personal information we collect, how it is used, and the steps we take to ensure your personal information is handled appropriately.

We will only collect, use and disclose personal information in accordance with this Policy. This Policy is incorporated into and forms part of our Terms of Use, which outline the terms and conditions you agree to when accessing and using the website: http://www.commonwealthleaders.org (the "Site").

By accessing and using this Site, or by providing us with any of your personal information, you agree and consent to the collection, use and disclosure of your personal information as outlined in this Policy. If you do not agree with any terms of this Policy, please do not use the Site or submit any personal information to CLD Canada.

Personal Information

Personal Information is information that refers to an individual specifically and is recorded in any form. Personal Information includes such things as home address, home phone number, fax number, email address, and date of birth, but excludes the name, title, business address or telephone number of an employee of an organization when used to contact such employees for purposes related to his or her employment.

Consent

Typically, CLD Canada will only collect personal information when it is voluntarily provided to us. By providing personal information to us, you voluntarily consent to the collection, use and disclosure of personal information as described in this Policy. Without limiting the foregoing, we may on occasion ask you to consent when we collect, use, or disclose your personal information in specific circumstances. Sometimes your consent will be express, and other times, it may be implied through your conduct with us if the purpose of the collection, use or disclosure is obvious and you voluntarily provide the information. In addition, we may collect, use and disclose personal information without your consent when we are required or permitted by law to do so.

How We Use the Information Collected

CLD Canada identifies the purpose for which your personal information is collected and will be used or disclosed. If that purpose is not listed below we will do this before or at the time the information is actually being collected. You will be deemed to consent to our use of your personal information for the purpose of:

  • communicating with you generally;
  • communicating with you to provide information on Alumni events and conferences;
  • updating our Alumni directory;
  • performing statistical analyses of user behaviour and characteristics, in order to measure interest in and use of the various sections of this Site so as to improve design and navigation. Only aggregated data from these analyses, not individual data, will be used for this purpose;
  • complying with legal and governmental requirements; and
  • fulfilling any other purpose that would be reasonably apparent to the average person at the time we collect it from you.

We may also use your personal information to generate generalized, anonymous data which has been stripped of information identifying individuals ("Summarized Data") for our internal use and in certain circumstances for sharing with third parties with whom we do business or run programs. Summarized Data will be used for statistical, informational, marketing and planning purposes. Your identity and personal information will be kept anonymous in Summarized Data.

Withdrawal of Consent

Individuals have the right to withdraw their consent to the collection, use, or disclosure of personal information at any time, except where that withdrawal would frustrate the performance of a legal obligation by CLD Canada. Upon reasonable written notice given to CLD Canada, personal information held by CLD Canada that is identifiable to that individual will be removed from our records and a notice of the impact of that removal will be provided to the individual. Notwithstanding the foregoing, if you withdraw consent, CLD Canada nonetheless reserves the right to retain, collect, use and disclose personal information without your consent where we are permitted by law to do so.

Information Disclosure

CLD Canada's main service is the provision of the Alumni Directory. Accordingly, CLD Canada discloses the information you submit as part of the Alumni Directory to other registered Alumni and other registered members of the Emerging Leaders’ Dialogues and Commonwealth Leadership Development Conferences.

CLD Canada does not disclose personal information to any organization or person for any other reason except under the following conditions:

  • when we have your consent to share the information (including as given as described in this Policy);
  • when we engage a third party to provide services to us (such as IT or storage services) and the third party is bound by contractual arrangements to protect personal information transferred to it; and
  • to comply with legal and governmental requirements.

Websites, Cookies & Tracking Technology

Like many websites, we use "cookies," and we obtain certain types of information when your web browser accesses the Site. Cookies are small pieces of text downloaded to your computer or mobile device when you visit a website.

The "help" portion of the toolbar on most browsers will tell you how to prevent your browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, or how to disable cookies altogether. Additionally, you can disable or delete similar data used by browser add-ons, such as Flash cookies, by changing the add-on’s settings or visiting the website of its manufacturer. Refusing cookies may not allow for the full functionality or use of CLD Canada's Site.

Examples of the information we collect and analyze include the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information, such as browser type, version and timezone setting, browser plug-in types and versions, operating system, and platform. We may also use browser data such as cookies, Flash cookies (also known as Flash Local Shared Objects), or similar data on certain parts of our website for fraud prevention and other purposes. During some visits we may use software tools such as JavaScript to measure and collect session information, including page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page. CLD Canada may provide such information to our website contractors for these purposes.

Retention of Information

CLD Canada retains your personal information only as long as it is required for our relationship or as required by federal and provincial laws.

Updating Your Information

CLD Canada keeps your personal information up to date, accurate and relevant for its intended use. You may request access to your personal information we have on record in order to review and amend the information, as appropriate. Alternatively, you may login to your Alumni account through the Site and update your information.

Security and Confidentiality

The security of your personal information is a priority for CLD Canada. We take appropriate security measures to protect against unauthorized access to or unauthorized alteration, disclosure or destruction of data. These include internal reviews of our data collection, storage and processing practices and security measures, as well as physical security measures to guard against unauthorized access to systems where we store personal data. Your personal information may be stored in servers located outside of Canada in the United States. 

It’s important for you to protect against unauthorized access to your password and your computer. Be sure to sign off when you’ve finished using any shared computer.

Absent the use of encryption, the Internet is not a secured medium and privacy cannot be ensured. Internet e-mail is vulnerable to interception and forging. CLD Canada will not be responsible for any damages you or any third party may suffer as a result of the transmission of confidential information that you make to any third party through the Internet e-mail links provided on this Site. CLD Canada is not responsible for any errors or any changes made to any transmitted information. Should you decide to transmit information using Internet e-mail links, you do so at your own risk.

Our site may include links to other websites. We do not provide any personally identifiable information to these third-party websites. CLD Canada is not responsible for the privacy practices or the content of such websites.

Privacy Policy Updates

CLD Canada may update this Policy from time to time. When CLD Canada does, we will post the new Policy on this page and change the date at the bottom of this Policy. Therefore, you are encouraged to check the date of this Policy whenever you visit CLD Canada's Site for any updates or changes. Your continued use of the CLD Canada Site shall be deemed to be your acceptance of and consent to this Policy.
